Cancellation/Rain Delay Policies

At times, emergencies such as severe weather, fires, or power failures may disrupt operations.  In such instances, public safety will never be jeopardized.  During rain or any other inclement weather, NC USFA will try at all costs to get the tournament completed in some format depending on the amount of time remaining and the severity of the weather.  The decision to cancel or change the game format due to weather related conditions will be determined by the State Director.  If a tournament cannot be completed, the following format will be implemented to determine any refunds due to teams:

Based on a 4 game format:

v     Total Refund if all games are cancelled

v     $75 refund if a team plays 1 game

v     $50 refund if a team plays 2 games

v     $25 refund if a team plays 3 games

v     There will be no refunds if a team plays at least 4 games


Based on a 3 game format:

v     Total Refund if all games are cancelled

v     $50 refund if a team plays 1 game

v     $25 refund if a team plays 2 games

v     There will be no refunds if a team plays at least 3 games 
 

NC USFA Tournament Drop Out Policy
  • NC USFA realizes that a team may have to drop out of a tournament that they have entered at the last minute.
     

  • NC USFA will allow a team to drop out of any non pre-pay tournament by midnight Tuesday the week of the tournament with no penalty.
     

  • Any team that drops out on Wednesday, after the brackets have been set, will be fined $50.00. If the same teams drops out a 2nd time after the brackets have been set, they will be placed on a pre-pay basis for the remainder of the calendar year.
     

  • If a team drops out after midnight Wednesday, they will be fined $100.00, and if they repeat this action a 2nd time they will be placed on a pre-pay basis for the remainder of the calendar year.
     

  • Any team that drops out after midnight Tuesday and enters a tournament with another organization will be accessed the appropriate fines, and placed on a pre-pay basis for the remainder of the calendar year.
     

  • There will be times when a team has to withdraw from a tournament for various reasons. If there is a team in that age group on a waiting list or we can find a replacement team, there will be no fine or penalty accessed to that team.
     

  • NC USFA operates on good faith with all sanctioned teams, although any team writing a bad check will be charged a fee of $30.00. If a team writes more than one bad check in a calendar year, that team will be paced on a pre-pay basis for the remainder of the calendar year.
     

  • If a team that issues a bad check does not make the check good within a reasonable amount of time, NC USFA will take legal action to recover any monies due.
     

  • Any team that drops out of a pre-pay tournament (State Tournament, College Showcase Tournament, or any special tournament), 8 days or more before the tournament will receive a 100% refund. If a team drops out 7 days before the tournament, they will be fined $100.00, unless there is a team to replace them with. Any team that drops out 6 days or less before the tournament, will receive a 50% refund even if there is a team that can replace them. This is due to the amount of scheduling and preparation that has to be done for these larger events.
     

  • There may be exceptions made to this policy for various circumstances, and if so, the NC USFA State Director will make the decision on whether a team will be subject to any fines or placed on a pre-pay basis.
